How to Make an Editable Classroom Schedule in Google Sheets

Classroom schedules are so helpful for so many of our Special Ed students. The visual representation of what’s going to happen and when helps ease their anxiety and helps them prepare mentally and emotionally for the transition from one class or subject to another.

But creating those schedules can be cumbersome and, if you have multiple students with different classes, very time consuming.

How to Make an Editable Class Schedule

So, I created an editable classroom schedule in Google Sheets that I think will make your life much easier!


Creating an Editable Classroom Schedule

To create your own editable classroom schedule, you’ll need access to a computer and a Google account. This is important because you’ll be making a copy of the file that will live in your Google Drive. So, be sure that you’re signed in to the correct account before downloading.

Once you download your copy of the editable classroom schedule in Google Sheets (you can grab your copy here), it will open as a copy in your Google Drive.

You’ll notice that there are spots for the time, days of the week, and objectives and standards. You can change the times to match your students’ schedules and type in the correct week at the top.

Be sure to change the name of file at the top by clicking on where it says “Copy of Editable Class Schedule” to something that better fits you or your students.

How to Edit the Schedule Boxes

To edit the boxes where the subjects go, you can click on the box and begin typing. You may need to change the size of the font if you don’t have enough space to type the entire thing.

If you would like to make this a visual class schedule, you can use these Digital Visual Icons that work perfectly with the schedule template.

Simply click on Insert –> Image –> Insert image in cell. From there you will get an upload pop-up where you can find and select the image that you would like to insert from your camera, Google Drive, or that you upload.

Repeat the process for all of the times in the class schedule by selecting the appropriate visual icons or typing in the class name.

Re-Using the Class Schedule

Since you may have multiple students who need class schedules, this digital template is easy to re-use for all of your students.

To make a copy, simply click on File –> Make a Copy. You can do this as many times as you need to.

Just be sure to save the files with the student’s initials (hello, HIPPA!). Then you can go back in every week or when the schedule changes and alter the icons or the text to match the new schedule.
